The Situation

 

Hudson Montessori School is a toddler through 8th grade school that was founded in Hudson, Ohio in 1962. It is the 13th oldest Montessori school in the nation and one of only 21 in the nation to have been recognized as an All Kinds of Minds School of Distinction. Like many independent schools, growth over the years has focused on the families they serve. But with 245 students from over 20 surrounding communities now attending, they found their growth had outpaced their data management solutions.

 

The Challenge

 

The school was working from three separate sets of data in the admissions office, development office and front office. Replacing the three sets of data with one accessible database was a challenge because some of the past years’ data was inaccurate and incomplete. Performing statistical analysis was growing difficult due to inconsistencies in historical data.

 

The Solution

 

Turning to DaySchool™, Hudson Montessori School’s school administrators tapped Snowman Software’s engineering expertise to provide a smooth conversion. With careful guidance, school administrators that were most familiar with their data were able to create a single, multi-user database that has the most accurate information possible—as painlessly as possible.

 

The Result

 

Implementing the DaySchool solution has increased efficiency and accuracy across offices since the margin of error was reduced through data entry by a single person into one database. Three areas of the school have found tremendous benefit:
 
 
  • To update emergency information for each student, parents are emailed their child’s form with data already merged in. They simply update the form if needed and return via email. The school then updates only data fields with changes, saving countless hours of data entry.
  • The development office has become more confident that they possess the essentials to mount effective campaigns, including valid information, good record keeping on gifts, and the tools to monitor donor histories and cultivate new donors.
  • The admissions office now has all of the tracking and reporting tools in an easily accessible program and format to analyze admissions, development, and demographics, in just a few clicks.
